Terms and Conditions

Last updated: 2024

These Terms and Conditions ("Terms") govern the use of the website operated by Xuguxo and the provision of translation services ordered through it. By placing an order or otherwise using this website, you agree to be bound by these Terms. If you do not agree, please refrain from using the site or our services.

1. Who We Are and How to Contact Us

The services on this website are provided by Xuguxo, based at:

165 Grainger Street
Newcastle upon Tyne
NE3 4PZ
United Kingdom

You can contact us by:

These Terms are governed by the law of England and Wales, and any disputes arising from them will be subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to any mandatory consumer protections applicable in your country of residence within the United Kingdom.

2. Placing and Confirming an Order

Orders for translation services may be submitted through our website, by email, or by telephone. When you submit an order, you are making an offer to purchase services from us. A contract is only formed once we send you a written confirmation by email accepting your order, specifying the scope of work, the agreed price, and the estimated delivery date.

We reserve the right to decline any order, for example where the requested content falls outside our areas of expertise, where the source material is unclear or incomplete, or where we are unable to meet the requested deadline. In such cases, we will inform you promptly and no charge will be made.

It is your responsibility to provide accurate source material and clear instructions regarding language pairs, intended use, formatting requirements, and deadlines. Delays or errors resulting from incomplete or inaccurate information provided by you are not the responsibility of Xuguxo.

3. Prices, Payment and What Is Included

Prices for translation services are quoted individually based on factors such as word count, language pair, subject complexity, formatting requirements and turnaround time. All quotes are provided in advance and become binding once confirmed in writing by both parties.

Unless otherwise agreed in writing, quoted prices include:

Additional services such as certified translation, notarisation, urgent turnaround, desktop publishing, or revisions beyond the original scope may incur additional charges, which will be communicated before work begins.

Payment terms will be specified in the order confirmation. Unless otherwise agreed, payment is due prior to delivery of the completed translation, or according to the invoicing schedule set out for larger or ongoing projects. We accept payment by the methods indicated at the time of order.

4. Cancellation and Complaints

You may request cancellation of an order at any time before work has commenced, in which case no charge will apply. If work has already begun, you will be liable to pay for the proportion of services completed up to the point of cancellation, calculated in good faith based on time and resources expended.

If you are not satisfied with the quality of a delivered translation, please contact us within 14 days of delivery at [email protected], describing the specific concerns. We will review the matter and, where a genuine quality issue is identified, arrange for revisions at no additional cost. We aim to acknowledge complaints within a reasonable time and resolve them fairly and promptly.

5. Limitation of Liability

We take reasonable care and skill in providing translation services. However, to the fullest extent permitted by law, Xuguxo shall not be liable for any indirect, consequential, or special losses arising from the use of our services, including but not limited to loss of profit, loss of business, or loss of reputation.

Our total liability for any claim arising from or in connection with an order shall not exceed the total amount paid by you for that specific order. Nothing in these Terms shall exclude or limit our liability for death or personal injury caused by negligence, for fraud, or for any other liability which cannot be excluded or limited under applicable law.

6. Cookies and Privacy

This website uses a single cookie, named privacy_choice, which stores your consent preference for a period of one year. No analytics, tracking, or session cookies are used on this site. Advertising measurement tools are only activated after you have given consent, and only operate on the order confirmation page.

For details on how we handle personal data, please refer to our separate Privacy Policy. If you have any questions regarding your data protection rights under the UK General Data Protection Regulation and the Data Protection Act 2018, you may contact us using the details above, or the Information Commissioner's Office (ICO), the UK's independent supervisory authority for data protection matters.

7. Changes to These Terms

We may update these Terms from time to time to reflect changes in our services or legal requirements. The version in effect at the time an order is confirmed will apply to that order. We encourage you to review this page periodically.
